| Officer meetings are held to keep the chapter organized and make sure officers are doing their assigned tasks. It is also a time to exchange ideas and for officers to learn to work with each other outside of a classroom setting. | ||
Project Description
Officer meetings were held every Tuesday at 5:15pm in either 120A or 220 Bechtel unless there was a candidate or member meeting on that date. At officer meetings early in the semester, a lot of planning of the candidate semester was done and policy decision like what events should or should not be done are made. As the semester progressed, the meetings become more like check-ups on the officers to make sure everyone was on top of their tasks and a chance to get feedback on how events during the previous week had gone.
Event Preparation
Chapter President B. Love tried to reserve 120A Bechtel for each Tuesday from 5-7pm through Bechtel Facilities Manager Portia Groce in 230 Bechtel as early as possible. Some dates were not gotten and those meetings were held in the 220 Bechtel office. Each week, B. Love prepared a meeting agenda and reminded the officers via e-mail on Monday of the coming meeting. Meetings began at 5:15pm and continued until the agenda and any new business was finished. Most of the time, the President and Vice Presidents stayed behind with various other officers to discuss any specific issues that did not require the time of the entire officer corps.
Problems Encountered
As the semester went on, officer attendance became worse and worse. It is important to stay on top of officers to come to the meetings even if they have no specific reason to be there or can communicate via e-mail. Seeing all the officers in person helps keep the group together.
Improvements Suggested
Stay on the agenda and do not get sidetracked into discussions that waste time. If people want to socialize, they can do so after the meeting is over. If lengthy issues need to be discussed, be sure that it is actually relevant and important for all the officers to be there. Matters that only concern certain officers should be discussed in less formal meetings right after the main officer meeting.
Enjoyment
When well run, the officer meetings are light and fun and people can enjoy the sense of accomplishment in knowing that the officer corps is on task and so much is being done. There are a necessary part of our chapter’s organization and should continue to be held weekly.
